We collect personal information in the following situations:

• Submissions to the inquiry form (name, company, email address, inquiry type, subject, and message).

• Technical information for spam prevention (source IP address, browser metadata) collected via Cloudflare Turnstile.

• Information provided by clients in the course of negotiating and performing service contracts.

We use personal information only within the scope of the following purposes:

• Responding to inquiries and related communications.

• Preparing and delivering quotes and proposals.

• Negotiating, performing, and supporting service contracts.

• Preventing spam, abuse, and unauthorized access; security operations.

• Complying with legal obligations (tax, accounting, bookkeeping).

We do not disclose personal information to third parties without consent, except in the following cases:

• When required by law.

• When necessary to protect a person’s life, body, or property and consent is difficult to obtain.

• When cooperation with a public authority is required to perform a duty prescribed by law.

We use the following external service providers in the course of business operations and may disclose personal information to them under the necessary safeguards:

• Inquiry form processing: Google LLC (Google Apps Script / Gmail).

• Spam protection: Cloudflare, Inc. (Cloudflare Turnstile).

• Hosting: Tencent Cloud International (Tokyo region in Japan). Personal information is, in principle, stored in data centers located within Japan and is not transferred cross-border.

• Monitoring and notifications: Discord Inc. (Discord Webhook), LY Corporation (LINE).

We retain personal information only for the period necessary to achieve the purpose of use, after which we promptly delete or anonymize it.

Documents subject to a statutory retention obligation (e.g., books and records under Japanese tax law) are kept for the period prescribed by the relevant law (up to 10 years).

We implement the following measures to prevent loss, leakage, or alteration of personal information:

• Least-privilege access control and separation of duties.

• Encryption of network communications (HTTPS / TLS).

• Prevention of accidental commits of secrets / credentials to source control.

• Periodic review of access logs and prompt vulnerability response.

If you request disclosure, correction, addition, deletion, or suspension of use or third-party transfer of your personal information, we will respond within a reasonable period. Please contact us through the inquiry form.

We may ask you to provide identification to verify your identity before processing your request.
